Kvarken Ports is the data controller for the processing of your personal data. We are responsible for your data (e.g., name and other contact details) and handle it following applicable data protection legislation.
When you are in contact with us, you may provide us with information about yourself or your business that is considered to constitute personal data under the data protection legislation, for example, if you sign a contract with us for rents/services etc., or through communication with us by letter, e-mail, phone call or social media.

Generally speaking, we process (e.g., register and store) the information you provided to us if it is relevant for us to be able to fulfil, improve and adapt our commitments and services or to communicate with you by mail or e-mail.
Examples of how your personal data may be used (when applicable):
To register your company or you as a customer.
For the preparation or administration of the services/deliveries your company requests or on which we have agreed with your company, as well as to activate and carry out invoicing.
To communicate with your company through different channels, so that we can send service-related messages, operational information, confirmations, and updates.
For certain statistics (such as statistics to SCB, Statistics Sweden)
To process job applications when you have applied for a position or sent a contact request.
If you contact us via Facebook or LinkedIn, information and personal data are always transferred to third parties (i.e., the company/organisation that runs the social media platform).
Unfortunately, we cannot regulate this. If you do not want third parties to collect the information you send to us, we recommend that you contact us by email or telephone.
We will only process your personal identity number when it is clearly justified regarding the purpose, necessary for secure identification or if there is any other important reason. We always try to avoid the use of your personal identity number as much as possible.
Personal data may be disclosed to partners (e.g., service providers) if it is required to carry out the task requested by the person concerned. This may be necessary for the delivery of a service from us. Further examples of this are IT services (companies that manage the necessary operation, technical support and maintenance of our IT solutions).
Personal data is not provided to companies in countries outside the EU or the EEA. If this should still happen, we promise you that we will take all reasonable legal, technical, and organisational measures to ensure that your data is processed securely.
We are always open and transparent about how we process your personal data. If you want to know what information we have about you, you can request access to the data in the form of a registry extract. Please note that if we receive a request for access, we may ask for additional information to ensure effective handling of your request and that the information is provided to the right person. You will normally receive such a registry extract within one month after we have received your request.
When you provide information to us, you have the right to receive information that we process your personal data and why we do this. Please contact us if you do not think you have received sufficient information.
Kvarken Ports uses secure IT systems to protect confidentiality, privacy and access to personal data. We take special physical, technical and organisational security measures to protect your personal data against unauthorised or unauthorised processing (such as unauthorized use, loss, destruction, or damage). Only those persons who need to process your personal data for us to fulfil our stated purposes have access to them.
We will keep your data for as long as it is necessary to fulfil our contractual obligations towards customers/suppliers and following the statutory retention periods for each purpose. These obligations come from, for example, accounting and tax legislation, banking and money laundering legislation and the Archives Act, but also from consumer law. The processing may also be necessary for us to establish, exercise or defend legal claims in these areas.
Kvarken Ports does everything possible to ensure that all the data we process is correct. This of course also applies to all personal information we process. You have the right to request a register extract and to some extent request erasure or restrict the processing of your personal data. However, please note that certain legal obligations may prevent us from erasing all or parts of your personal data. To protect your privacy and your personal data, we may require you to identify yourself when providing our assistance.
